early question - is there a place where we can find all the arena protocols? Thanks
Sharlene Cook
46:59
Hello everyone, we will do our best to get to as many questions as we can. Please try to keep them specific to the meeting. If there are questions outside the meeting items, feel free to call or email the office. Thank you!
Sharlene Cook
48:02
Yes Kim, all related information is in our Return to Play documents. we also have arena capacity listing. is there something in particular you are looking for? you can email office@hockeyedmonton.ca
Kim Stirling
48:39
THanks
Donnie Morrison
50:18
Any Idea when the schedule will be posted for Bantam?
Sharlene Cook
50:41
Schedules should be posted Thursday, Friday at the latest.
Rob Sharp
52:59
Where can one find the Hierarchy Flow charts?
Sharlene Cook
53:44
It is in our Operating Directives and will be posted to the website with the manager meeting PDF tomorrow! Operations tab, manager meeting tab
Rob Sharp
53:59
Thank you Sharlene
Bill Bowers
54:01
Where do we find that calendar?
Sharlene Cook
54:47
The calendar can be found on the website, calendar button on home page, then to bottom of calendar page for the downloadable version
Sharlene Cook
55:08
U15 (Bantam) should be up by Friday at the latest
Jennifer Gibbens
56:18
if I am reading the calendar correctly, there will be no games until January for U15? (It’s all blue up to that point)
Jesse Jahrig
56:20
is the plan to have the same number of ice times, games and practices, as in previous years? what happens if that's not the case?
Sharlene Cook
57:44
U15 schedules will be up later this week and Ice tells me games start Monday :)
Kim Stirling
58:00
What are the times for teams to arrive before, and leave after the game - (I have heard 30 min before and 15 min after the game) - just to clarify
jim johnson
58:15
covid rules allow us to be in the dressing room?
Sharlene Cook
58:21
At this time, and this is fluid with the pandemic, 18 games and 18 practices are the paln
Sharlene Cook
59:28
Arena attendants are being very strict about access to dressing rooms, no more than 30 minutes before game for players and coaches. Parents are to arrive at game time.
Sharlene Cook
59:59
You should clear the dressing room within 15 minutes to allow cleaning and next team access on time.
Sharlene Cook
01:00:15
Coaches are permitted in dressing rooms, yes.
Renice Richel
01:00:51
can you repeat the video info? We had kids screaming in here
Bonnie Feakes
01:01:50
Are there any exceptions to the 30 minute dressing room rule for goalies to have sufficient time to get dressed/prepped before a game?
Sharlene Cook
01:01:54
It will be in the manager meeting PDF on the website. There is no video permitted and discipline will not review video for any reason
Sharlene Cook
01:02:43
No there is no exceptions made for goalies to arrive any earlier. The city is very adamant about time frames for dressing room access and you are not permitted to dress in hall or lobby of arena
Steve Hogle
01:03:18
Renice, this video will be posted on our site afterwards … so the kids can scream away!!!
Sharlene Cook
01:04:22
Thanks Steve! Yes it will be posted by the end of the week. again, if you need a question answered before, feel free to contact your category director or email office@hockeyedmonton.ca
Jennifer Aromin
01:06:16
Is this presentation going to be available on your website?
Sharlene Cook
01:06:17
Jason, I do believe players are asked to sign the release
Sharlene Cook
01:07:21
Kevin, Ice is doing the best they can to ensure everything is accurate with the schedule... usually schedules are posted 3 days prior to the start of league play for that division
Sharlene Cook
01:07:47
Yes Jennifer, this presentation will be posted to the website :)
Sharlene Cook
01:08:40
Manager meeting presentation and the PDF of slides will be on the website before the end of the week
Sharlene Cook
01:11:12
Quick tip for ref fees in covid times.... a snack size Ziploc is perfect size for fees, the refs can see the $ and you can write on the Ziploc with a marker.. don't forget to get a receipt from the refs too!
Sharlene Cook
01:12:21
Ref fees, please try to have exact fee ready. The refs do not carry change but I bet they would like a "tip" if you don't have exact change...
Jessica Wight
01:12:21
How do U9 teams know when they're getting 2 or 3 refs, and is it split either way between both teams?
Paul Bettio
01:12:30
I assume no re-tiering this year either?
Sharlene Cook
01:13:19
U9 refs and # for each tier are on the ref rate sheet as well as the split for each ref
Jody Shkrobot
01:13:19
What if a team needs to forfeit due to covid isolation requirements?
Jessica Wight
01:14:18
@Sharlene, correct but my understanding is that we will either have 2 or 3 refs. How will we know which in order to bring the accurate funds to the game
Sharlene Cook
01:15:06
Jody, good question! we will let Chris reply at question time :)
Kim Stirling
01:16:31
Do out of Edmonton teams use this goalie form to Hockey Edm or to our local organization?
Sharlene Cook
01:16:46
Jessica, the rate sheet says U9 should have 3 refs at all tiers of play.
Sharlene Cook
01:17:25
The sub goalie form is a HAB form and is used by HE and Interlock teams
Bill Bowers
01:17:28
Is the goalie form in the managers tab?
Sharlene Cook
01:17:59
The sub goalie form goes to your association and is forwarded accordingly for approvals
Kim Stirling
01:18:08
thanks
Sharlene Cook
01:18:43
The sub goalie form will be in the presentation PDF and can be found on the registration tab, on our website and under forms. It is also on HAB website, under forms tab
Don Weatherbee
01:18:57
I looked at the calendar and the matrix for the U18 doesn't seem to match the games schedule that I received today
Sharlene Cook
01:19:35
Don, please email the office with that question and we can have a look at it.
Melanie Robertson
01:20:49
I noticed the same Don, the dates don’t match
Lindsay Walker
01:21:10
As a hall manager and rink manager it will be difficult to obtain outdoor ice for practice as many ODR's are NOT opening up their rink rooms due to covid and leaving their rinks as public use...just an fyi
Sharlene Cook
01:21:37
Thanks Lindsay! great information to know!
David Dumas
01:22:33
how are playoffs going to work?
Jennifer Mulcahy
01:22:57
If we book ice, then the city shuts us down, do we get a refund on ice paid for?
Kevin Roul
01:22:57
are we expected to have all staff and athletes tested before games in co hort groups?
Renice Richel
01:23:12
how many players do we need to field a team (if some players are on isolation but not the entire team)
Dave Bauer
01:23:59
Do you want coaches contacting Hockey Edmonton or should they contact their category director about re-tiering?
Sharlene Cook
01:24:54
Coaches should communicate with category directors, including re-tiering
Sharlene Cook
01:25:20
6 players are required to begin a game Renice
Michelle Kane
01:25:28
Are you still going to be doing the colour sub-divisions within each tier?
Damian Kane
01:25:48
\jjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjjklklllkklk

Jesse Jahrig
01:26:19
is the plan to have the same number of ice times, practices and games? what happens if that's not possible?
Michelle Kane
01:26:24
Damian says sorry for above message.
Sharlene Cook
01:26:38
All good Damian and Michelle :)
Sharlene Cook
01:27:04
Jesse, yes we are planning 18 games and 18 practices in this very fluid season
Donnie Morrison
01:28:34
Are we allowed to have affiliates this year?
Sharlene Cook
01:28:59
No Donnie, there are no affiliates permitted this season
Donnie Morrison
01:29:07
Thanks
Bob Bourque
01:29:23
U18 we have games Nov. 16, 18, 21 and 22 which Is outside the first Nov. 13-16 cohort and not 14 days to next cohort (Dec. 1-4).
Brenda Oliver
01:30:05
are we not just splitting the arena capacity’s...1/2 for each team
Sharlene Cook
01:30:10
Suggestion for spectator management, check night before with parents who plans to attend. Keep in mind you need to take into account the other team gets 50% of spectators.
Amanda Hargreaves
01:31:02
Do we need all those signatures on gamesheets as there are lots of hands touching the same pen etc?
Sharlene Cook
01:31:03
Yes Brenda, you should split it 50% with the other team. work with the team manager...
Paul Bettio
01:31:12
Do Home teams put 2 people in the box to work the score clock and gamesheet or is it still one parent from each team?
Jill Martin
01:31:16
Can you review the scorekeeper/ timekeeping box rules- i.e. which team is responsible to staff the box or are we mixing 1 from each team. We want to make sure we’re following Covid rules but are prepared to staff the box given restrictions on spectators.
michelle mitchell
01:31:23
do scorekeepers need to be masked?
Darren Shepherd
01:31:27
How many timekeeper/scorekeepers in the box given COVID restrictions? Home or away team responsibility to provide TK's?
Sharlene Cook
01:31:30
The refs need to sign game sheet after the game. Scorekeeper and timekeeper too.
Sharlene Cook
01:32:07
Only persons in the stands are counted as spectators, coaches on the bench and players do not
Sharlene Cook
01:33:03
Paul, we encourage one from each team, but work with the other team to ensure they are comfortable with this, if not, then one team do one game and swap for next game.
Sharlene Cook
01:33:30
Masks are to be worn in the timekeeper box, all facilities require masks at all times,
Paul McPhail
01:33:45
Player's serve penalty in box or awarded penalty shot?
Brenda Oliver
01:34:11
do you have to have the same volunteers in the time box for the round of games? my thought was that if we don’t we will jeopardize the cohort?
Sharlene Cook
01:34:53
we would hope that teams will work together to stay within Covid protocols
Lorraine Tait
01:34:55
do game sheets for exhibition games have to be uploaded?
Brent Johnston
01:35:08
To confirm, the timekeepers need to count spectators in the stands and record on gamesheet - correct?
Dave O’Brien
01:35:40
is there any chance of tournaments this year?
Sharlene Cook
01:35:41
Time keepers and scorekeepers do not count as spectators as they are not in the stands. They need to stay in the box for the entire game.
Sharlene Cook
01:36:04
NO tournaments will be allowed this season (at this time) but I do not believe this will change
Amanda Hargreaves
01:36:18
There is nothing in facilities to sanitise score boxes and general areas and they are not cleaned between games. This should be corrected I believe
Sharlene Cook
01:36:32
ALL game sheets, including exhibition games, should be uploaded to ramp
Sharlene Cook
01:37:09
Thank you Amanda, but I do believe the RA clean the box after each game has ended as part of the cleaning process
Selena Chow Erskine
01:37:11
Where on the game sheet does the scorekeeper sign? I see a spot for the timekeeper only.
Kristine Belbeck
01:37:39
do outside associations need to request permits from edm hockey or from our own associations like we use to?
Cara O’Brien-Joyce
01:37:39
I agree on the providing of supplies to sanitize the time box. I bought supplies for our team to use.
Amanda Hargreaves
01:37:49
Okay. They didn't in Servus this weekend
Sharlene Cook
01:38:01
game sheet says timekeeper, which is the scorekeeper, signature
Lee Manning
01:38:01
My screen says the host has disabled screen share. Is that same for everyone, or am I just special?
Sharlene Cook
01:39:07
Kristine, INTERLOCK TEAMS will request exhibition game permits via HAB as usual and then Ramp so we are aware of the game and all criteria has been met.
Sharlene Cook
01:39:29
SCREEN SHARE is still on my other computer Lee
Lyle Kentel
01:40:58
what if the ref writes the wrong jersey number for a penalty on the game sheet? we have had a number on a game sheet and that player was absent that day
Amanda Marshall
01:41:16
is all the info for filling all the game sheets in a general area for new managers?
Kim Stirling
01:41:48
Genius Scan is a good app
Paul Bettio
01:42:11
Cam Scan is good as well
Sharlene Cook
01:42:14
The refs do not write on the game sheet unless they are adding an infraction at the end of the game. It is important that the scorekeeper make sure the player in the box is the one on the game sheet who is assessed the penalty. if in doubt, use the buzzer and have the refs come over and clarify for you.
Renice Richel
01:42:16
Your apple notes app already in your phone can scan as well
Sharlene Cook
01:43:31
Amanda, the sample game sheet is on the website, under operations tab, then manager meeting tab. If you have questions, feel free to call the office and we can help you out with the tough ones :)
Amanda Marshall
01:44:16
Thanks! I’m a newbie and this is LOTS of info
Lyle Kentel
01:44:36
usually it is not caught until the game sheet is entered. unfortunatrly
Bonnie Feakes
01:44:36
are goalie shots recorded for tier 5?
Sharlene Cook
01:44:49
I use adobe scan for my game sheets, it too works great! Watch out for your fingers shading the game sheet or covering information
Sharlene Cook
01:45:07
shots on goal are not recorded nor needed Bonnie
Tom Jacknisky
01:45:08
will all the questions and answers be posted somewhere so the info is available
Brent Johnston
01:45:23
Sharelene - I missed it earlier, are the timekeepers recording the spectator #'s on the game sheet?
Sharlene Cook
01:45:24
Yes Tom, this chat will be available.
Sharlene Cook
01:45:45
Brent, no, timekeepers do not record the spectators on the game sheet
Sharlene Cook
01:47:37
Shauna, all log ins have been sent to the registrars for the season
Shauna Feller
01:48:01
thank you!
Sharlene Cook
01:48:18
Ron, from your association registrar
Jennifer Gibbens
01:48:51
for interlocked associations, do we still apply for permits through HA?
Sharlene Cook
01:49:10
Yes Jennifer...
Jennifer Gibbens
01:49:20
thanks
Sharlene Cook
01:50:45
Jennifer, you will need to apply for league game reschedules via ramp, exhibition game permits HAB,
Sharlene Cook
01:59:14
Interlock teams will request an exhibition game permit via HAB, if they are playing an HE team, the HE team will need to submit a permit request in ramp.
Bob Bourque
02:01:01
Exhibition game if both HE teams we each put in our own team?
Sharlene Cook
02:01:45
Yes Bob
Sharlene Cook
02:02:21
Interlock teams will upload exhibition game sheets via the link on their HAB permit
Kim Stirling
02:04:46
So - good practice to check the arena capacities within a week of play to ensure you have the most up to date info?
Sharlene Cook
02:05:45
Kim, it is a good idea to check the night or two before... this is an ever changing document... I actually updated is 3 times since Friday :)
Kim Stirling
02:05:58
Good to know - thank you.
Jennifer Aromin
02:07:03
Please confirm we are not allowed to have practices and exhibition games outside of Edmonton, so for example spruce grove and st. albert
Troy Housworth
02:07:28
if games cancelled i assume the team that could of played would be able to keep the ice?
Renice Richel
02:08:15
General: For u15, the calendar says games start this Friday. It was posted here that the schedule may not even posted until Friday. Can you reassure us that there will not be a U15 game on that much short notice?
Sharlene Cook
02:08:26
Spruce Grove and St Albert are part of the AHS Edmonton Health zone as per the map on CURRENT PERMIT RESTRICTIONS
Jennifer Aromin
02:09:10
thanks is enoch?
Sharlene Cook
02:09:28
U15 games, except for one single game on Sunday, start Monday.
Renice Richel
02:09:39
phew. thx
Sharlene Cook
02:09:52
Yes, Enoch
Sharlene Cook
02:10:19
Yes Troy
Sharlene Cook
02:10:59
The team that is not going into isolation can use the ice for practices.
Tom Jacknisky
02:12:43
is COVID Checker mandatory for each team?
Sharlene Cook
02:13:14
Yes, the covid check list is mandatory.
Amanda Marshall
02:13:43
is the one offered on team snap sufficient
Jennifer Mulcahy
02:13:43
Are all teams that are U15 playing Monday night @sharlene? Or, just that they start Monday?
Sharlene Cook
02:13:47
Usually the team manager would be the team checker...
Renice Richel
02:13:50
Do they just tell us they did it, or do managers have to go through the questions with everyone
Burke Smith
02:13:52
I assume that specific check list is to be used? Or can the one in other apps like TeamSnap be used?
Sharlene Cook
02:14:21
no Jennifer, not all U15 teams are playing Monday
Carla Ladner
02:14:52
Does the manager need to have the form physically filled out? Or can the survey on team snap suffice?
Michelle Kane
02:14:52
Wondering about the TeamSnap checklist as well?
Sharlene Cook
02:15:04
The form in Team Snap should not be used. We ask the check list in the presentation be used
Jennifer Aromin
02:15:36
Really, because this would cut down on paper and I am keeping track of this as a manager
Carla Ladner
02:15:41
Do we need to collect a physical form for each ice time?
Carla Ladner
02:15:55
Or can we do a survey monkey, etc. with the exact same questions as on the form?
Kim Stirling
02:16:05
TO clarify - managers are to take the Covid screen for all players before each time on ice/event - so complete the form for each player, each time?
Leon McKay
02:16:11
TeamSnap form is based on US CDC requirements and do not align with AHS requirements/recommendations.
Paul Bettio
02:16:45
We created our own form using Google forms and the results link to google sheets to keep track of the forms
Melissa Gorman
02:16:49
the issue with the survey monkey form was it wasn't being updated with current dates.
Jennifer Aromin
02:17:10
I understand this, but not everyone has printers at home with paper!
Robert Moyles
02:17:17
is spectator capacity rules different for every arena?
Paul Bettio
02:17:33
Robert yes it is
Lyle Kentel
02:17:39
do coaches have to wear masks on ice during a practice?
Sharlene Cook
02:17:53
Melanie and Paul, thank you for the suggestion.
Michelle Kane
02:18:00
Can they verbalize it and tell us they are ok to play or do we need to have it in writing?
Colleen Caldwell
02:18:01
Is it an expectation forms are completed and collected or is it reasonable to follow the way the schools are doing it an expect that people are doing it before attending and that if they attend they have answered no to all the questions?
Sharlene Cook
02:18:05
Yes Robert
Megan Fortier
02:18:22
For schools, we have instructed parents to do the screen every morning and if they send their child, they are stating that the child has passes - can we do the same?
Jennifer Aromin
02:18:23
School are not collected I work at a school
Renice Richel
02:18:31
What Colleen asked.
Jennifer Aromin
02:18:36
They are asked to read it and screen, but we do not collect the forms
Jennifer Aromin
02:19:49
so can we use Team snap
Renice Richel
02:20:00
So we have to create our own electronic form to do this???
Lindsay Walker
02:20:03
Sorry, where is that questionaire on HE website...searching it and cant find it...
Sharlene Cook
02:20:08
We prefer the AHS form as Chris just said
Kim Stirling
02:20:22
our association has had us keep track of who is at each practice and game (players and coaches) -
Jesse Jahrig
02:20:32
so team snap is okay?
Paul Bettio
02:20:46
AHS does not do contact tracing anymore. You are now responsible to do it yourself
Jennifer Gibbens
02:20:55
I understood that the parents are expected to screen their kids and we are not to collect the form. but we are diligently tracking attendance.
Katie Schilling
02:20:59
Our Association has us using TeamSnap for all their teams.
Bill Bowers
02:21:14
On Team Snap if we have to go back to to the survey for a specific day can we?
Paul Bettio
02:21:16
you must contact the people or organizations you were around going back 48 hrs
Jennifer Michaelchuk
02:21:43
do we have to track spectators at practices and games?
Paul Bettio
02:21:58
no you do not have to track them
Leon McKay
02:21:59
I do not believe that is correct. AHS is still doing contact tracing.
Kim Stirling
02:22:03
Yes - what Jennifer said - it still is not clear. We are required to have a record (physical paper OR electronic) and screen all players before they go into the activity (practice/game)
Jody Shkrobot
02:22:37
AHS is doing contact tracing for select groups - kids are included in that group
Jennifer Michaelchuk
02:22:40
ok thanks!
Lindsay Walker
02:22:42
We have parents leave a comment in Team Snap and put who is coming to game/practice for potential tracing
Renice Richel
02:22:42
Can we do this like schools and assume if the parents brought the kids, they did a self screen?
Amanda Marshall
02:22:54
is team manger info all accessible online?
Jill Martin
02:22:54
team need to input coach/manager online so we can reach the other team
Sharlene Cook
02:22:57
Kim, I believe Chris said electronic vesion is accepted
Jesse Jahrig
02:23:09
so parents are expected to go through forms but teams do not need documentation?
Jennifer Gibbens
02:23:29
Is Renice correct? because that’s what we had been told!
Lindsay Walker
02:23:30
Thanks so much Chris and Sharlene!!!
Kim Stirling
02:23:36
But we need to collect for each and every time - not like a school where we can assume if a kid shows up - that their parent screened them?
Lee Manning
02:23:44
I think the idea of having two timekeepers in that tiny penalty box area might challenge some peoples boundaries.
Laura Marr
02:23:44
Thank you for the well organized meeting.
Shauna Feller
02:23:49
Thanks, Chris & Sharlene!
Tara Lamabe
02:23:54

Sergio Zalloni
02:24:20
is the recording of this meeting going to be posted somewhere for reference
Rob Filipchuk
02:24:22
Thanks Chris & Sharlene
